Lists, tags, pins, locations and search

Gather anything with lists, tags and pins, keep your places in Locations, and find it again with search, the command menu, the history log and the trash.

On this page

Lists

A list gathers anything side by side without moving it from its place: tasks, notes, saved links, projects, people and events. One thing can be on any number of lists. Use one for a reading list, a trip, or everything for a talk.

Open Lists from the menu, make a list with the field at the bottom, and find things to add with its search. Rows open where the thing lives, reorder by their handles, and leave the list with ×. In edit mode, Add to list puts every picked task, project, note or person on a list at once.

Tags

Tags are your own list of labels that anything can carry: tasks, notes, projects, people, events, met logs and more. Add them from the Tags row in a thing's details, where Add a tag finds or creates one.

Tags are inherited: a task carries its project's tags, a subtask its parent's, a note its folder's, an event its series', and a person their groups'. Inherited tags show dashed, saying where they come from.

The Tags page lists every tag with what it gathers, with a coloured tag's colour on the edge of its row; a tag's page lists everything with it, own and inherited. From a tag's menu you can merge it into another tag or delete it.

Pins

Pins keep things at hand in pin groups, such as Study or Recipes. Anything with a page can be pinned, and one thing can sit in several groups. Pin from the Pins row in a thing's details. Pinning doesn't move anything; to keep a note at the top of its folder, use its On top switch instead.

The sidebar shows one pin group's first few things; pick which group and how many in Settings › General › Pins in the sidebar. The Pins page lists every group and everything pinned, with the history of every pin.

Locations

Locations keeps the places you go, such as Home, the Office or a favourite restaurant, apart from any map app. Open it from the menu, or put it in your bottom bar.

  • Like Notes, a column of folders sits beside your places (on a phone it is the first page): All places, your folders, which can sit inside each other and fold away, Add folder, and the built-in Maps and Want to go. An open folder renames in place, moves, adds subfolders and deletes. New locations go into the open folder.
  • A location has a name and icon, a type (Home, Office, Cafe, Restaurant and more, or your own words), stars, an address and country, a map link with buttons for your map apps, a phone number, website, hours, notes, and Want to go for places you have not been yet.
  • Every map place you use in an event's Where or a note becomes a location by itself, in the Maps folder. Move one into a folder to file it; it stays a full location either way.
  • An event's Where offers your locations first. An event at a location links to it.
  • Tasks and people have Locations in their details: pick kept ones, or type a new name to add it. A task's location lists it on that location's page, on its due day when it has one. A person's page also lists the places you have been with them.
  • A location's page shows everywhere it came up: events whose Where is it, met logs and occasions there, tasks and people set at it, and notes, tasks or people that link to it with [[Name]] or paste its map link. See them as a list, or By date a month at a time, with who was there and what you wrote, and how many times you went, first, last and next.

Search looks through every task, note, project, event and person on your device, open or finished, by their current text. It runs on your device, so it works offline and finds encrypted content too. Every word must appear, anywhere in a title or text. Put words in "quotes" to find them as written, and put - before a word to leave out what has it.

Narrow it with chips or filters typed in the box:

The command menu

On a computer, Ctrl+K (⌘+K on a Mac) opens the command menu from anywhere: go to any page, or open any task, note or project by its title.

Ask your history

Ask (in the menu, with the AI switch on) answers questions about your own records, such as "When did I last call the bank?" or "What did I finish on the launch last month?". Claude looks things up with tools that run on your device, so only what it looks at is sent.

History and the trash

  • History lists every change across the app, newest first and grouped by day: tasks, notes, projects, people and events created, edited or deleted. Chips narrow it by kind.
  • Trash keeps everything you deleted, with its history. Restore brings a thing back (an open task goes back on today's page), and Delete permanently removes it for good.

Still stuck?

Write to support@rollov.app with what happened and which device you were on. Questions, bugs and ideas are all welcome.

In the app: Settings › Help has the guided tour and a walkthrough for each part.
